From 9 Seconds to Instant: Re-Engineering Dynamics 365 Request Queue Processing

How Sky Soft Connections re engineered a Dynamics 365 CRM integration to deliver faster API responses, reliable request ordering, and consistent CRM processing.

Request Queue Processing system in dyanmcis crm

Client & Business Context

The client was using an external system, Instaleap, to send job-tracking requests to Microsoft Dynamics 365 CRM.

The integration needed to process incoming requests reliably while maintaining the correct processing order and protecting CRM data consistency.

Client: Fully anonymized

CRM Platform: Microsoft Dynamics 365
Integration: External System → Dynamics 365 CRM
Technology: ASP.NET Web API, C#, .NET Framework
Process: Request → CRM Processing → API Response

Note: The client’s company name, industry, and employee names have been intentionally omitted.

The Business Problem

Every Request Had to Wait for CRM Processing

The existing integration processed requests synchronously.

Each API request had to complete its Dynamics 365 business logic before returning a response to the external system.

During peak periods, this could result in 7–9 seconds of waiting for acknowledgment.

At the same time, multiple requests arriving concurrently created risks of:

  • Requests being processed out of order

  • Race conditions
  • Conflicting CRM updates

  • Slow API responses

  • Inconsistent CRM data

The integration had become a bottleneck for both performance and reliability.

Business Impact of the Existing Process

The Sky Soft Connections Solution

FIFO Request Queue with Background Processing

Sky Soft Connections redesigned the integration by separating request intake from Dynamics 365 processing.

Instead of processing CRM operations directly within the API request, incoming requests are immediately placed into a thread-safe FIFO queue.

The new architecture follows:

Request Received → Instant Acknowledgment → FIFO Queue → Background Worker → Dynamics 365 CRM

This allows the external system to continue its workflow while the integration safely processes requests in the background.

How the Request Queue Works

01 : RECEIVE
The API receives a request from the external system and immediately acknowledges it.
02 : QUEUE
The request is added to a thread-safe ConcurrentQueue, preserving the order in which requests were received.
03 : PROCESS
A background worker continuously picks up queued requests for processing.
04 : CONTROL
SemaphoreSlim controls execution so CRM operations are processed sequentially and do not conflict with one another.
05 : UPDATE
The request is processed against Dynamics 365 CRM and the required business operations are completed.
06 : LOG
Structured logging records processing activity, errors, and request status for improved traceability.

Technology & Integration Architecture

ASP.NET Web API

Receives integration requests and provides immediate, non-blocking acknowledgments.

ConcurrentQueue

Provides thread-safe FIFO request handling and maintains request order.

Background Processing

Separates CRM processing from the API request lifecycle.

SemaphoreSlim + Dynamics 365 CRM

Controls concurrency and ensures requests are processed sequentially while keeping Dynamics 365 CRM as the system of record for all business operations.

Reusability Across Industries & Departments

The underlying solution is a reusable asynchronous request-queue architecture for Dynamics 365 integrations. It can be used whenever an external system sends multiple requests to Dynamics 365 that need to be acknowledged quickly but processed reliably and, where required, in a specific order.

Retail / eCommerce

order, delivery, picking, rider and fulfillment status updates

Logistics & Transportation

shipment, delivery, dispatch and tracking events

Manufacturing

production, inventory, warehouse and order-status updates

Healthcare

integration events and patient/service workflow updates where controlled processing is required

Distribution & Wholesale

order, inventory and fulfillment integrations

Finance

transaction or integration events requiring reliable sequential processing

Business Outcomes

Faster API Responses

Requests that previously required 7–9 seconds to receive an acknowledgment can now be acknowledged immediately.

Reliable Request Ordering

FIFO processing ensures requests are handled in the order they were received.

Reduced Race Conditions

Sequential execution prevents overlapping CRM operations from creating conflicting updates.

Improved Stability

The integration remains more stable when handling multiple concurrent requests and higher workloads.

Better Traceability

Structured logging provides visibility into request processing and errors.
